Role Summary
We are seeking a highly capable Assistant Operations Manager to support our leadership team in optimizing firm-wide operations and driving business growth. This role goes beyond administrative supportit is designed for a proactive professional who can oversee cross-departmental initiatives, support client services, and contribute to the firm's sales and marketing efforts.
The Assistant Operations Manager will work closely with the CEO and Operations Manager to ensure smooth day-to-day operations, efficient client service delivery, and measurable progress in firm development initiatives.
Responsibilities
Primary Responsibilities (Core Focus)
Operations & Project Coordination
- Support the Operations Manager in overseeing firm-wide initiatives and workflows.
- Route inquiries efficiently to relevant departments and monitor timely resolution.
- Track progress on departmental initiatives and provide regular updates to leadership.
- Assist in designing, implementing, and improving workflows for efficiency.
Client Services & Experience
- Monitor client communications to ensure consistency and high-quality service delivery.
- Support the implementation of service standards and client satisfaction metrics.
- Collaborate with leadership to identify and proactively resolve client service issues.
Reporting & KPI Management
- Compile reports on firm-wide metrics, including operations and client services.
- Support data analysis to identify opportunities for performance improvement.
- Flag delays, risks, or bottlenecks impacting departmental KPIs.
Secondary Responsibilities (Support as Needed)
HR & Recruitment Support
- Assist with candidate screening, scheduling interviews, and maintaining the recruitment pipeline.
- Support onboarding logistics when required.
Administrative & Executive Support
- Manage cross-departmental communications and scheduling.
- Prepare meeting briefs, agendas, and decision-making materials for leadership.
Qualifications
Education & Experience
- Bachelor's degree in Business Administration, Operations Management, Communications, or a related field.
- Minimum 5 years of experience in operations, project coordination, or executive support.
- Proven ability to handle cross-departmental reporting and KPI tracking.
- Law firm or legal services experience is highly preferred but not required.
Skills & Attributes
- Native-level fluency in English with excellent verbal and written communication.
- Strong organizational, research, and planning skills.
- Analytical mindset with the ability to translate data into actionable insights.
- Comfortable engaging with external stakeholders and business partners.
- Proactive, tech-savvy, and solutions-oriented.
Technical Proficiency (Required)
- monday.com (Mandatory): Highly proficient in setting up boards, automations, dashboards, and workflows for task tracking and project planning.
- AI Tools: Highly adaptable, with demonstrated ability to leverage AI functionalities (ChatGPT, Gemini, Box AI, etc.) to improve efficiency, reporting, and decision-making.
- CRM: Salesforce or similar.
- Productivity & Scheduling: Google Workspace, Microsoft Office, Dialpad, Zoom.
Compensation Package
- USD 2,000 2,500/month, with potential growth to USD 3,000 based on performance.
- Paid Leave: U.S. federal holidays, 5 days paid annual leave, 5 days paid sick leave, and local holidays after 12 months.
- Performance Bonuses: Based on KPIs and project impact.
- Regular Remuneration Reviews: Benchmarking against performance and market standards.
Working Hours:
Full-time 8-hour shifts (Monday to Friday) with flexibility based on business needs.
